TASKS AND PEOPLE
Typically, other people have tasks related to your presentation. There’s someone who takes care of reserving and arranging the room, someone who handles refreshments, someone who coordinates the production and delivery of your handouts and materials, and maybe even someone who takes care of your travel arrangements. Most of these people are already on other lists that you’re using to keep track of your presentation’s details. I find it helpful to have a master list of names, organizations, e-mail addresses, and phone numbers (including mobile numbers) for these people that I can quickly turn to when I have questions or concerns.
In the Cards
A card file is a handy way to keep track of people and their tasks, particularly if you do a lot of presentations that involve the same contacts. You can use a computer program to create the basic information, updating it for each presentation. Also print a hardcopy in a filing card size (and on filing card stock; versions for use with computer printers are available at office supply stores) so you have a paper record for your reference. Electronic methods, such as Blackberry and similar devices, are also great for quick access.
